These roles are essential to ensuring the smooth operation of the team throughout the season. As a Manager or Scheduler, you’ll handle activities “outside the glass,” helping to organize games, tournaments, and team events so that the coaches can focus on the players. Your contribution not only supports the team but also strengthens the sense of community and teamwork among all families involved. By committing to one of these roles, you will earn your ten volunteer hours by the end of the season.
Manager Responsibilities
The team manager is responsible for overseeing all off-ice activities, ensuring effective communication between coaches, players, and parents. Key responsibilities include:
- Plan and Coordinate: Organize the team parent meeting at the beginning of the year to set expectations, verify contact details, and collect necessary forms like medical consent and USA Hockey concussion documents.
- Fund Management: Collect and manage team funds for various expenses, including team parties, tournaments, and coach gifts.
- Event Planning: Arrange team gatherings and oversee tournament logistics, such as booking hotels and coordinating with parents for volunteer roles.
- Game Day Coordination: Ensure everything runs smoothly during both home and away games, from managing Gamesheet setup and/or score sheets to handling communications with referees and opposing teams.
- Team Communication: Maintain open lines of communication with parents and coaches to ensure that everyone is informed of important updates and events.
Scheduler Responsibilities
The scheduling manager plays a vital role in organizing and managing the game schedule for the season. Key responsibilities include:
- Game Scheduling: Verify that all divisional games are scheduled and work with team leadership to schedule non-divisional games as needed.
- Referee Coordination: Confirm referees are available for each game and handle their payments. If games are canceled, ensure referees are notified in time.
- Volunteer Assignment: Assign parent volunteers for in-game duties like keeping the score, operating the time clock, and managing the penalty boxes.
- Logistical Support: Ensure all aspects of scheduling are completed on time and communicated effectively to parents and coaches, while also keeping the online schedule updated.
